Absence from School
South Island school uses an electronic registration system. The Octopus card that is widely used in Hong Kong is also used by our students to register attendance. As our students arrive in school they can swipe their card at any of the 7 stations positioned around the school.
When students swipe their card to register they must wait until they see the green light and hear a bleep. Only after this has occurred does the system record them as present. Otherwise the system classifies them as absent. If a student experiences any problems they are to go directly to the General Office where they can check their registration or do so manually.
If a child is absent from school then parents are encouraged to inform the school using email.
Once notification is received the data will be entered into our recording system. We would welcome notification in advance if you know your child will be away.
Parents of students in Years 7 to 9 On Friday afternoons we will check our system and will email parents who have not informed school of their child's absence for the previous week.
Parents of students in Years 10 to 13 will be sent an automatic email each afternoon if a child has not swiped in and we have not received notification from a parent. This is to ensure that parents are aware that their child is not in school or not following the basic registration process. We require confirmation from parents of their whereabouts.
For all students we monitor lates and non swipes and to implement sanctions of a detention if an individual accrues 3 of either in a term.
By using these systems we can keep parents informed and ensure accuracy of our absence records for safety issues and our reporting systems.
Leaving School during the School Day
If student has an appointment or needs to leave school early then they are expected to have a note or letter provided by their parents. They can then register the reason at the school office before they swipe out.
Illness During the School Day
Any students who are ill must visit the Medical Room and the school nurse will assess whether a student should be sent home. Parents will then be contacted and the student will be given permission to leave school.
Parental Absence from Hong Kong
Should parents not be in Hong Kong for any time during the school term then a guardian should be appointed and the school informed. There is a proforma for parents to download and complete. Domestic helpers are not accepted as guardians. The school nurse should be informed in case of medical problems.
